Privacy Policy

eeVote ("eeVote", "we", "us") is operated by AL TechSpire LLP. This Privacy Policy explains what information we collect when a community, its administrators and its residents use the platform, how that information is used, who it is shared with, and the specific protections that apply to how you vote. It applies to every user of eeVote, regardless of which community account they access it through.

1. Information we collect

  • Account information — your mobile number, name, and the OTP verification record used to confirm it belongs to you.
  • Community and property data — the property structure (towers, floors, flats, blocks, villas) and voter roll that a community's admin sets up or imports.
  • Election activity — records of who has voted in a given election, the approvals a committee has granted, and audit-log entries for configuration and credit changes. This does not include how any individual voted (see Section 2).
  • Billing and credit information — your subscription plan, credit wallet balance and ledger, and payment references from our payment processor. We do not store full card, UPI or bank account numbers ourselves — those are handled directly by our PCI-DSS compliant payment processor.
  • Usage data — standard web request logs (IP address, timestamps, browser/device information) used for security and troubleshooting.
  • Cookies and similar technologies — strictly functional cookies used to keep you signed in and to protect forms against cross-site request forgery. We do not use third-party advertising or cross-site tracking cookies.

2. Ballot secrecy

An individual voter's ballot selection is never linked back to their identity in storage, in exports, or in published results — only aggregate tallies are ever shown, to anyone, at any access level, including platform administrators. Eligibility and turnout records (that a voter did vote) are kept separately from what they voted for, and ballots are encrypted at rest.

3. How we use this information

  • To verify voter eligibility and prevent duplicate voting.
  • To operate dual-control election approval, locking, and result-publication workflows.
  • To send OTPs and election-related notifications by SMS/WhatsApp.
  • To calculate credit consumption and generate invoices.
  • To maintain an audit trail for disputes and security investigations.
  • To comply with applicable law and respond to lawful requests from public authorities.

We process this information on the basis of your consent (given when you verify your mobile number and use the platform), performance of our contract with your community, and our legitimate interest in keeping elections secure and auditable.

4. Sharing of information

We do not sell personal information, and we do not share it for third-party advertising. Limited data is shared with service providers strictly to operate the platform, each bound by contract to use it only for that purpose:

  • SMS/WhatsApp gateway providers, to deliver OTPs and election notifications.
  • Our payment processor, to process subscription and credit payments.
  • Cloud infrastructure and database hosting providers, to store and run the platform.

We may also disclose information where required by law, to enforce these terms, or to protect the rights, property or safety of eeVote, a community, or its residents.

5. Data retention

Voter, election and audit records are retained for as long as a community's account remains active, and for a reasonable period afterward to satisfy dispute-resolution, audit and statutory record-keeping requirements. Mock-election data is clearly separated from real voter data and can be cleared independently by a community's admin at any time. When a community closes its account, we delete or anonymize personal information within a reasonable period, except where retention is required by law or to resolve an open dispute.

6. Security

Access to community data is scoped by role and tenant, enforced on every request. Elections lock before voting opens so the roster and ballot configuration cannot be altered, ballots are encrypted, and every approval, configuration change and credit adjustment is recorded in an immutable audit log. No method of transmission or storage is completely secure; if we become aware of a breach affecting your personal information, we will notify affected communities and regulators as required by applicable law.

7. Your rights

Subject to applicable data protection law, including the Digital Personal Data Protection Act, 2023, you may ask to access, correct, or request erasure of your personal information, or withdraw consent for its processing. You can raise this with your community's Account Admin, who controls your voter/user record, or directly with us using the contact details in Section 10. Some requests may be limited where information must be retained to keep election records accurate — for example, a completed election's turnout record cannot be altered after results are published.

8. Children's privacy

eeVote is intended for use by adult residents of a community and is not directed at children. We do not knowingly collect personal information from anyone under 18.

9. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal requirements. Material changes will be reflected by updating the "Last updated" date above, and where required by law we will provide additional notice.

11. Governing law

This Privacy Policy is governed by the laws of India.
